cancellation policy + terms and conditions


Cancellation Policy:

  • Cancellations made within 48 hours of booking the reservation will receive a full refund, minus the deposit, provided the check-in date is at least 7 days away.

  • Cancellations made more than 7 days prior to the check-in date will receive a full refund, minus the deposit.

  • Cancellations made within 7 days of the check-in date, as well as shortened stays or early check-outs, are non-refundable.

  • Credit Toward Future Reservations:  If you’d prefer not to receive a refund, we can apply the value of your cancellation (minus the deposit) toward a future reservation. Let us know, and we will gladly accommodate this option.

Humboldt Bay Social Club Terms and Conditions:

Guest Agreement and Information:

1. AGREEMENT:

Humboldt Bay Social Club (HBSC), Oyster Beach (OB), and the Tenant agree as follows: The Tenant must be over the age of 21 and will be an occupant of the unit for the entire reserved period. Other occupants may include family members, friends, or responsible adults. Use of the premises will be denied to anyone not meeting these criteria, and such individuals will be required to vacate the property immediately without a refund. In the event a unit becomes unavailable due to unforeseen circumstances beyond our control, even if previously reserved, HBSC will make its best effort to provide alternative accommodations if available.

2. PAYMENT SCHEDULE:

At the time of booking, Humboldt Bay Social Club (HBSC) collects 50% of the reservation amount as a deposit. The remaining balance will be charged 7 days prior to check-in or upon check-in for same-day reservations. Until the 50% deposit has been paid, rates cannot be guaranteed and are subject to change without notice. Payments are processed via Credit Card through ResNexus. By accepting these terms, the credit card holder authorizes Zephyr Hospitality LLC dba Humboldt Bay Social Club (HBSC) to charge the credit card on file for the required deposit, the remaining balance, and any additional charges incurred, including but not limited to damages, missing items, or late check-outs.

3. PETS:

We welcome pets in our rooms, subject to the following terms:

  • A non-refundable $100 pet cleaning fee is required per stay. Additional charges may apply for excessive cleaning or repairs needed due to pet-related damage.

  • Pets must remain on a leash or under reliable voice command at all times.

  • Owners are responsible for cleaning up after their pets, including proper disposal of all waste material.

  • Pets must never be left unattended in the units or on the property, and owners must maintain control of their pets at all times.

Complaints from other guests about excessive noise or other nuisances caused by your pet may result in immediate termination of the rental agreement without a refund. Unauthorized pets found on the property will result in a $150 fee, plus the cost of repairing any damages caused by the pet.

4. CHECK-IN:

Check-in begins at 3:00 PM. Early check-ins are not permitted at this time. Checking in early without written or verbal permission from the property manager may compromise our ability to provide a safe, clean, and operational rental. HBSC assumes no responsibility for mechanical, operational, housekeeping, or health issues that may arise during your stay as a result. Your keycode will be sent via email prior to check-in.

5. CHECK-OUT:

Check-out is at 11:00 AM, and late check-outs are not permitted at this time. Guests who fail to check out on time will be charged an additional $50 per cleaner to cover disruptions to the cleaning schedule and to ensure the property is ready for the next guest.

6. CLEANING:

Each property will be inspected and cleaned after your departure. The cleaning fee covers standard cleaning to ensure you can enjoy your stay until the last moment. Guests are asked to leave the property in the same general condition as it was upon check-in.

ALL UNITS ARE NON-SMOKING. Evidence of smoking indoors will result in an additional $150 cleaning fee. Fees are subject to change without notice. 

7. WHAT WE SUPPLY:

The property is fully furnished and equipped with bedspreads, linens, blankets, pillows, towels, and basic kitchenware. Guests should plan to bring their own personal toiletry items; however, a selection of toiletries is available for purchase at our Lobby Bar for your convenience.

8. GUEST LIABILITY:

Guests agree to accept liability for any damages caused to the property beyond normal wear and tear, including but not limited to landscaping, misuse of appliances, and damage to equipment or furnishings. Guests agree to reimburse HBSC for the cost of repairing or replacing damaged items.

9. SLEEPING CAPACITY/DISTURBANCES:

Guests and all other occupants may be required to vacate the premises and forfeit the rental fee for the following reasons:

A. Exceeding the sleeping capacity stated on the website.

B. Using the premises for illegal activities, including serving or consuming alcohol by persons under 21 years of age.

C. Causing damage to the premises or neighboring properties.

D. Engaging in activities that disrupt neighbors’ right to quiet enjoyment.

Unauthorized parties or events are prohibited and may result in immediate eviction. Events such as weddings or parties require prior approval and additional fees.

10. HOLD HARMLESS:

HBSC and OB are not liable for loss, damage, or injury to persons or their property. HBSC and OB are also not responsible for inconveniences caused by temporary outages of utilities (water, gas, electricity, or plumbing) or issues beyond their control, including weather, natural disasters, pandemics, or acts of God. Guests are responsible for monitoring weather and travel conditions that may affect their stay. Properties near water require special attention, and children or pets should not be left unattended.

11. SOAKING TUBS, PATIOS, FIREPLACES, FIREPITS, RECREATIONAL EQUIPMENT (e.g., Cedar Sauna):

Guests acknowledge that the use of soaking tubs, patios, fireplaces, firepits, recreational equipment (such as the cedar sauna), and other amenities may involve inherent risks, including the risk of injury. Children must never be left unattended while using or near these items. Guests are required to observe and adhere to all posted rules and guidelines to ensure safety.

Our soaking tubs and recreational equipment are professionally maintained. If the condition of any amenity, including the soaking tubs, appears unsatisfactory upon your arrival, please notify HBSC immediately for assistance.

12. ADDITIONAL TERMS AND CONDITIONS:

The guest, on behalf of themselves, their heirs, assigns, executors, and administrators, fully releases HBSC and OB from any claims, demands, or causes of action related to their stay. Guests agree to hold the property owners free of liability for any claims or suits arising from their occupancy.

In the event of legal action related to this agreement, the prevailing party is entitled to recover reasonable attorney fees and costs.
